WhatsApp Business API vs the Free App: What Actually Changes

The free WhatsApp Business app hits team and 256-contact broadcast limits. Here is what the API changes, and what it costs per message in ₹.

If you are comparing WhatsApp Business API vs WhatsApp Business app, the difference is not what your customer sees. They still see the same green chat. The change is on your side: who can answer, how many opted-in customers you can message, what sends automatically, and what each template message costs.

The free WhatsApp Business app is good software for one accountable owner. Ohanvi is a WhatsApp marketing platform that gives you official API access from ₹0 a month, with WhatsApp campaigns, chatbots, a shared team inbox, CRM, Shopify workflows and AI replies on the same contact record.

The evening the free app stops working

Picture a small ethnic-wear label in Jaipur. Forty orders a day in a normal week. One phone on the counter, the WhatsApp Business app installed, and the owner's cousin helping with replies from a linked browser tab.

Then a sale weekend lands. Two hundred orders. The phone doesn't stop. The cousin can see the same account, but nobody knows which chats are theirs, which ones have already been answered, or which order update still needs to go out. By Tuesday there are nineteen unanswered “bhaiya order kahan hai?” messages, and four customers have opened disputes that a one-line update would have prevented.

Nothing broke. The app worked exactly as designed. It just was not designed to run a two-person operations queue around two hundred orders.

The three walls, in the order people hit them

Wall 1 — One primary account, unclear ownership. The free app can be used on linked devices, but the account still revolves around one primary phone and one shared queue. When a second person needs accountability, “who replied?” becomes the problem. There is no connected CRM record, assignment trail, automation log or manager view around the conversation.

Wall 2 — 256 contacts per broadcast list. WhatsApp's own broadcast-list rules cap each list at 256 contacts, and only contacts who have saved your number in their phone receive the message. So a “1,000 customer” broadcast is really a set of hand-managed lists, and the reach depends on how many people bothered to add you.

Wall 3 — Everything important is typed by hand. Order confirmed. Shipped. Out for delivery. COD to confirm. At forty orders a day, that is roughly two hours of someone's evening, every evening, retyping the same six sentences.

Most businesses hit Wall 1 first, Wall 3 second, and only notice Wall 2 when a campaign under-delivers.

What the API actually changes

The API is not a different WhatsApp. Your customer sees the same chat. What changes sits on your side.

One number, your whole team. Multiple people can work the same WhatsApp number, each with their own login. Chats can be assigned by name, so nothing sits unclaimed and nobody has to pass a handset around.

Broadcasts that actually go out. You send approved templates to opted-in customers without the 256-contact list rule or saved-number requirement. What governs scale is Meta’s messaging limit and quality rating, not a phone broadcast list.

Messages that send themselves. When a Shopify order ships, the update can go out without anyone touching a keyboard. Same for COD confirmation, abandoned carts, and the review request three days after delivery.

And your number stays yours. The WhatsApp Business Account is registered in your company's name, not your provider's.

What it costs

Two separate charges sit behind an API bill, and any honest vendor will show both: Meta’s charge for the template message, and the platform fee on top. Ohanvi publishes the finished per-message price by plan, calculated from Meta’s rate card and the plan you choose.

Here is what that looks like for messages to an Indian number, using Meta's INR card effective July 1, 2026:

Message typeMeta's own rateOhanvi Pay as you goOhanvi Growth
Marketing: offers, launches, campaigns₹0.8631₹1.0357₹0.9667
Utility: order, delivery, COD updates₹0.1150₹0.1380₹0.1288
Customer replies in a chat they startedFree inside the customer service windowFreeFree

All figures exclude GST. Meta prices by the recipient’s country, so an Indian business messaging Dubai pays the UAE rate, and a US business messaging India pays the India rate.

So a shipping update to India on Growth costs about 13 paise. Send 1,200 of them in a month and that is roughly ₹155 in message charges before GST.

The monthly plan is separate: Pay as you go at ₹0 a month with a minimum ₹500 prepaid top-up, Starter at ₹599 a month, Growth at ₹1,099 a month, Scale at ₹2,599 a month and Pro at ₹5,099 a month, all excluding GST. At Ohanvi the plans do not gate features — chatbots, CRM, Shopify workflows and AI replies are switched on even at ₹0. What moves between plans is how many automated messages are included, how many seats you get, the per-message rate, and how fast support answers.

Run your own numbers in the calculator before you talk to anyone.

When you should just stay on the free app

Honestly: if one person handles all your WhatsApp, you send fewer than about thirty order updates a month, and you have never needed to message more than 256 people at once, stay where you are. The free app is useful software and it costs nothing.

Break two of those three and the free app starts costing you in missed replies instead of rupees. That is the line.

Moving without losing your number

Four steps, usually done inside a day or two.

1. Pick the number. An existing WhatsApp Business number can be migrated, but it can only live in one place. Once it moves to the API, the app version of that number stops working.

2. Verify the business with Meta, using GST or incorporation documents.

3. Get your first templates approved. Order confirmation and delivery update templates usually clear quickly when they are specific and non-promotional.

4. Import contacts and tag them by what they bought.

Migration from another platform is free on every paid Ohanvi plan, and contacts and chat history export whenever you want, so nothing traps you.

The free WhatsApp Business app does not fail loudly. It fails when the second person needs to reply, and nobody can tell which customer is still waiting.

Questions this answers

Is WhatsApp Business API free?
Meta does not charge a monthly licence fee for API access, but it does charge per template message. A platform fee sits separately. Ohanvi's Pay as you go plan is ₹0 a month with every feature switched on, with a minimum ₹500 prepaid top-up. Paid plans run from ₹599 for Starter to ₹5,099 for Pro, excluding GST. Full per-message prices are published on the pricing page.
What does one WhatsApp message cost in India?
On Ohanvi's Growth plan at ₹1,099 a month, a marketing message to an Indian number is ₹0.9667 and a utility message — order confirmations, shipping and COD updates — is ₹0.1288. Replies inside a conversation the customer started are free on every plan. Estimate your own bill in the calculator.
Can I keep my existing WhatsApp number?
Yes. Your number is registered as a WhatsApp Business Account in your own company's name, not the platform's, so there is no lock-in. Contacts and chat history export any time. Migration from another WhatsApp platform is free on every paid Ohanvi plan. A number can only run on the app or the API, not both.
